How to Protect Your Gear, Arrive Looking Epic, and Keep the Magic Intact

When you're stepping into a world of fantasy, becoming your character starts long before the session or the battlefield. It begins with how you care for your wardrobe, armor, and props. Whether you’re prepping for a GamerGurl Photography session, a LARP weekend, or a Renfaire day trip, transporting your gear safely can make or break your look and your comfort.


Here are battle-tested tips to get your costumes, armor, and props to your destination in perfect shape.

1. Use a Dedicated Costume Bag (Not Just a Duffel)


Cosplay and LARP pieces are… dramatic. They have layers, textures, and delicate detailing. A regular duffel often crushes things or mixes them together.


Upgrade to:

Garment bags for gowns, cloaks, robes, and anything floor-length

Hard-shell suitcases for delicate armor pieces

Clear organizer bags for belts, jewelry, bracers, makeup, adhesives


Pro Tip: Pack by scene or by layer makes changing on-site way faster.

2. Armor Should Ride Like Royalty


Armor dents easily, paint scratches faster than you'd think, and foam edges can warp in heat.


How to protect it:

Wrap pieces in soft microfiber cloths or bubble wrap

Use foam sheets or yoga mats between layers

Fill hollow parts (like helmets) with socks or small fabric pieces

Avoid leaving armor in hot cars heat warps EVA, cracks resin, and ruins adhesives


If it jingles, clanks, or creaks, pad it.

3. Prop Weapons: Transport Legally & Safely


Whether you’re wielding a foam greatsword, a staff taller than you, or a beautiful leather-wrapped shield, props need TLC.


Best practices:

Use PVC tubes for staffs or spears

Soft rifle/guitar cases work great for swords

Keep blades wrapped to avoid paint rub


Check event and venue rules  some locations have strict prop policies


Your photographer tip: Let me know ahead of time if you’re bringing oversized props so I can prep posing ideas and lighting setups.

4. Shoes, Boots & Hooves Need Their Own Space


Boots can crush gowns. Hooves can dent armor. Sand or mud from a previous event can ruin a perfectly styled look.


Pack separately using:

Shoe bags

Zip-lock bags for detachable hoof covers

Boot inserts so they keep their shape


If your footwear is heavy (looking at you, plate boots), store them near the bottom of your suitcase so nothing collapses under their weight.

5. Keep Fabrics Wrinkle-Free With These Quick Hacks


Fantasy fabrics love drama including unwanted wrinkles.


Bring:

A mini handheld steamer

Downy Wrinkle Release spray

A small lint roller

Fabric tape for emergency hems

Extra safety pins (they are the bardic inspiration of wardrobe fixes)


If you’re shooting with me, I always carry a small “fix-it kit,” but having your own on hand speeds everything up.

6. Protect Makeup, Body Paint & Accessories


To avoid a bag of chaos greeting you when you arrive:

Pack liquids upright in a hard case

Keep brushes in a roll-up organizer

Bring makeup wipes specifically for body paint

Store jewelry in pill organizers or small snack-size bags


If you’re doing SFX makeup or full body paint, store it separately so pigments don’t dust onto delicate fabrics.

7. Label EVERYTHING (Future You Will Thank You)


Especially for multi-day LARP events or big group shoots.


Use:

Masking tape + Sharpie

Color-coded packing cubes

Mini tags on armor straps or belts


Nothing is worse than scrambling for that one specific glove when everyone else is ready for the group photo.

8. Plan for Quick-Change Efficiency


If your session includes multiple looks or prop upgrades:

Pre-bundle each outfit

Keep the “upgrade pieces” in one pouch

Lay out accessories in order of how they’re worn

Keep a small towel for quick armor adjustments or sweat control


The smoother the transitions, the more shooting time you get and

9. Weather-Ready Packing


Ohio weather (and fantasy events in general) are full of plot twists.


Prepare for:

Rain poncho

Extra socks (wet socks kill morale faster than any dragon)

A dry towel for wiping armor

Sealable bags for electronics and makeup

A backup cloak or robe for warmth between shots


If I’m your photographer, I always have umbrellas and emergency warmth gear, but packing your own is hero-level planning.

10. Build a “Character Survival Kit”


This small pouch saves lives (and lashes).


Include:

Mini sewing kit

Super glue or Barge for armor fixes

Black & brown makeup for emergency shading

Hair ties, bobby pins, and wig glue

Band-aids (bracers fight dirty)

Snack + water packet


Your session energy and comfort matter just as much as your look.
