Your Ultimate Guide to Building a Dream Team for Your Wedding Day

When it comes to planning a wedding, the team you surround yourself with can make or break your experience. The right vendors bring the magic to life — from making you feel gorgeous and confident, to keeping your timeline flowing, to feeding your guests amazing food while you dance your way through the night.
To make planning easier (and way less chaotic), here’s my curated list of preferred vendors and expert tips to help you get the best experience possible. These are professionals I’ve worked with, trust, adore, and would gladly recommend to my own friends and family.

Why Having a Trusted Vendor Team Matters
Your wedding vendors are more than just service providers they’re your creative allies, your timeline protectors, and your sanity savers.
A strong vendor team:
Communicates clearly and works collaboratively
Respects your timeline (and keeps things running on time!)
Anticipates your needs
Brings positive energy to your day
Helps create a seamless, stress-free wedding experience

When your vendors click, you get to relax, enjoy, and be fully present on one of the biggest days of your life.

Vendor Tips to Make Your Wedding Experience Smoother
These are my tried-and-true pro tips (from many years behind the camera!) to help your day run beautifully.
Hire Vendors Who Communicate Well
Good communication is EVERYTHING.
If your vendor answers questions clearly, respects your boundaries, and is easy to talk to that’s a green flag.
Ask Your Vendors for Timeline Advice
Every vendor sees your day from a different angle.
Photographers, planners, hair/makeup, and DJs all contribute valuable timing info.
Use them! We love helping create a day that flows.
Read Reviews — But Also Trust Your Gut
Vibes matter.
If someone feels warm, supportive, and aligned with your vision, it’s usually a great match.
Book Your Key Vendors Early
Priority vendors (photographer, planner, venue, HMUA) should be booked first they set the foundation for everything else.
Popular dates book up 12–18 months in advance.
Share Your Vision and Moodboard
Whether it’s whimsical, dark & moody, cottagecore, vintage fantasy, or classic romantic every vendor works better with clarity.
Don’t be afraid to overshare your Pinterest boards!
Keep Vendor Meal Counts in Mind
Everyone working your wedding day (photo, video, DJ, coordinator, etc.) needs dinner.
Most caterers offer vendor meal pricing ask early so you can include it in your budget.
Have One Point Person for Questions
To prevent chaos, assign a friend or coordinator to handle vendor questions during the wedding day so you can focus on getting married, not logistics
Create a Backup Plan
Weather, travel, gear, and timing can shift.
Vendors with solid backup systems (equipment, second shooters, assistants, rain plans) are worth every penny.
Respect Vendor Contracts
They exist to protect both you and them.
Clear expectations lead to a smoother experience for everyone.
Build a Team You Actually Like
Your vendors will be around you during emotional, intimate, exciting moments.
Choose people who make you feel safe, supported, and genuinely happy.
